EMPLOYMENT OPPORTUNITY

ADMINISTRATIVE SUPPORT ASSISTANT (0.5 FTE)


The County is seeking a friendly, outgoing customer service-oriented individual to join the organization as a permanent part-time Administrative Support Assistant.  This successful candidate will be required to work approximately 18 hours per week and also have the ability to maintain a flexible schedule.  This position will report to the Director of Corporate Services and participate collaboratively as a member of the Corporate Services team working out of the main administration building in Vegreville.  The part-time Administrative Support Assistant will be one of the first points of contact for incoming inquiries and will provide front line customer support to visitors and ratepayers at the County’s Administration Building in Vegreville.


This position will have the following duties:

  • Receive and distribute phone calls and faxes, respond to general emails and welcome visitors to the Administration Building and a friendly and professional manner. 
  • Manage the customer experience by accommodating requests for information, directing enquiries to the proper department, reprinting copies of property tax notices and selling maps and other County related goods.
  • Accept in-person payments for utility bills, taxes and other accounts receivable while ensuring correct application of the incoming funds to the correct accounts.
  • Apply postage, deliver and collect mail and periodically check drop box for afterhours payments.
  • Responsible for keeping adequate stocks of office goods including photocopier paper, janitorial supplies, promotional goods, County maps and coffee supplies by monitoring inventory levels and putting received supplies away.
  • Coordinate and work with service providers in relation to incoming deliveries.
  • Set up for Council and other meetings with external stakeholders and perform general clean up afterwards.
  • General upkeep of the reception area.
  • Assist with other administrative duties such as filing, paper shredding and disposal of records as required.

 

Qualifications

  • A minimum of one (1) years’ experience in an accounting and office environment is preferred
  • A certificate or diploma related to administration, office management or accounting is desirable
  • Excellent computer skills with a demonstrated ability to work with Office 365 including Outlook and Excel
  • Excellent communication, interpersonal and strong customer service skills
  • Valid Class 5 driver’s license

Salary Range:  $28.03 to $32.16 (depending on qualifications and relevant work experience)
